Order Statuses Settings

The Order Statuses page defines the pipeline your orders move through, from new to delivered. You can rename statuses, choose colors and icons, reorder them, and attach automatic email or SMS messages that fire when an order reaches a given status.

Manage your statuses

Each status has a name, a color, an optional icon, and a description. To manage them:

  • Go to Settings → Order Statuses.
  • Drag statuses by the grip handle to change the order they appear in.
  • Click Add to create a new custom status.
  • Edit an existing status to change its name, color, or icon.
  • Use the trash icon to remove statuses you don't need.
  • Some statuses are system statuses and one is marked as the default for new orders. System and default statuses are protected so your pipeline always has a valid starting point.

    Choose colors and icons

    Give each stage a distinct look so your team can scan orders at a glance. Pick from a range of icons — such as a circle, clock, package, truck, home, pause, play, or flag — and assign a color that fits its meaning (for example, green for completed stages).

    Automatic notifications

    For any status, you can turn on customer notifications:

  • Email — Enable email, then set the subject and message body.
  • SMS — Enable SMS, then write the text message body.
  • Both support variables that are filled in automatically, such as the customer's name, order number, order total, and order date. Insert a variable to personalize each message without typing details by hand.

    Putting it together

  • Order your statuses to match your real workflow.
  • Set colors and icons for quick visual scanning.
  • Enable email or SMS on the stages customers care about most, like when an order ships.
  • Save your changes.
  • If you ever want to start fresh, use the reset option to return to the default set of statuses, then rebuild from there.
