Document Numbers Settings

The Document Numbers page controls how your documents are numbered. You can set a prefix, choose how many digits to pad to, and control the next number to issue for each document type. This keeps your numbering tidy, professional, and consistent.

Document types

You can configure numbering for four kinds of documents:

  • Orders — The default for dashboard-created orders. Each storefront has its own order number sequence.
  • Quotes — Used for all quotes created from the dashboard or designer.
  • Invoices — Used for every invoice, paired with each order and any standalone invoice.
  • Purchase Orders — Used for vendor purchase orders created from the dashboard.
  • Configure a sequence

    For each document type you can set:

  • Prefix — Text that appears before the number, such as ORD- or INV- (up to 24 characters).
  • Padding — How many digits the number pads to, between 1 and 10 (for example, padding of 4 produces 0007).
  • Next number — The next value to be issued.
  • A live preview shows exactly how the next document number will look with your chosen prefix and padding.

    Per-storefront order numbers

    Orders are special: each storefront maintains its own order number sequence. That means you can give each storefront a distinct prefix and starting point, keeping orders from different stores easy to tell apart at a glance.

    Editing the starting value

    Whether you can change the starting number depends on the sequence's current state — the page indicates when the starting value can be edited. This protects you from accidentally reusing numbers that have already been issued.

    Tips

  • Choose clear prefixes so anyone can tell an order from a quote or invoice instantly.
  • Set padding to match your expected volume so numbers stay a consistent width.
  • If you migrated from another system, set the next number to continue your existing sequence.
  • Save after each change and check the preview to confirm the format is right.
