Make the Workflow Yours

Order statuses drive how work moves through your shop, from Quote to Delivered and everything in between. Under Settings → Statuses, you can create your own statuses, rename them, recolor them, and reorder them so the pipeline matches exactly how your shop actually runs. Some statuses are system defaults, while others you add yourself.

Create and Style a Status

  • Type a name into the new-status field and pick a color, then add it.
  • Choose an icon from the built-in set (clock, package, truck, check circle, flag, and more) to make each status instantly recognizable.
  • Add an optional description so your team knows what the status means.
  • Mark a status as the default if you want new orders to start there.
  • Reorder Your Pipeline

  • Grab the drag handle next to any status.
  • Drag it up or down to reflect the real sequence of your workflow.
  • Save your changes so the new order sticks across the dashboard.
  • Automate Email Notifications

    Each status can trigger an email to the customer when an order reaches it:

  • Enable email for the status.
  • Write a subject line and message body.
  • Drop in variables like {{customer_first_name}}, {{order_number}}, {{order_total}}, {{status_name}}, {{tracking_number}}, and {{tracking_url}} to personalize each message.
  • Automate SMS Notifications

    For status changes that deserve a text:

  • Enable SMS for the status.
  • Write a short SMS body using the same personalization variables.
  • Save, and customers will get a text whenever an order hits that stage.
  • Because notifications are tied to statuses, simply moving an order forward keeps your customers informed automatically, with no manual emails to send.
